The Qualifications We Seek

  • 1–3 years of experience in bid coordination, administrative support, or a related role; Bachelor’s degree preferred
  • Strong proficiency in Microsoft Excel and data entry, with high accuracy in managing information
  • Excellent written and verbal communication skills

  • Excellent written and verbal communication skills
  • Strong customer service and relationship management abilities
  • Ability to maintain consistent communication with clients and internal stakeholders

Organizational & Administrative Skills

  • Exceptional organizational skills with strong attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Experience supporting bid tracking, proposal coordination, and reporting processes

Systems & Tools

  • Familiarity with CRM systems and proposal/bid tracking tools (e.g., Excel, Pipedrive or similar)
  • Experience with administrative coordination, data management, and database maintenance

Industry & Process Knowledge

  • Experience in construction, flooring, tile, or related industry is an advantage
  • Understanding of bid management, pricing requests, and project coordination workflows

Your Daily Tasks
Bid Coordination, Tracking/Reporting, & Client Engagement

  • Conduct daily outreach to follow up on submitted bids and maintain client engagement
  • Track, manage, and report on project proposals and bid statuses
  • Support account executives by maintaining consistent communication with clients and our team

CRM & Business Development Support

  • Develop, manage, and maintain the company’s CRM database (clients, prospects, project history) in Excel and Pipedrive
  • Assist in identifying opportunities for client re-engagement and relationship growth
  • Help coordinate marketing efforts including email campaigns, PR initiatives, and social media content

Project & Operations Support

  • Assist by acting as a liaison between clients, vendors, installers, and internal teams as needed
  • Assist with pricing requests and preparation/submission of project proposals
  • Support project coordination efforts alongside the operations team
  • Submit and track project change orders

Administrative & Office Support

  • Provide administrative support as directed by the VP of Operations
  • Coordinate daily communication across internal departments and external partners
  • Perform general office duties and ensure smooth day-to-day operations
